1. What is Concurrent Enrollment?

Concurrent Enrollment is the process through which the public may apply for enrollment on a class-by-class basis in UC Berkeley courses offered in the Fall and Spring terms as listed in the Schedule of Classes. Course work taken through Concurrent Enrollment is included on your UC Berkeley Extension transcript, and designated as Berkeley-equivalent (XB) course work. Please note that concurrent enrollment applications are reviewed on a space-available basis only after registered students have had an opportunity to enroll. Concurrent enrollment students may not displace registered students in a class. To maximize your chances for approval, please follow the application procedures.

2. Do I need to apply to and be admitted to UC Berkeley to apply for enrollment through Concurrent Enrollment?

No. Concurrent Enrollment does not require you to go through the formal admissions process for degree-seeking students.

3. What happens if I have been previously matriculated in a UC Berkeley undergraduate program, and I did not complete it?

Effective fall 2005, as a condition of enrollment in UC Berkeley-equivalent (XB) courses, all UC Berkeley-matriculated undergraduate students (except those in dismissal status and those who have already completed a UC Berkeley undergraduate program) will automatically have all XB coursework included with grade points on their Berkeley campus transcript as stipulated by Academic Senate regulation A208. XB coursework completed prior to fall 2005 is not eligible for the transfer of grades or grade points to the Berkeley campus transcript. To receive transfer credit for XB coursework completed prior to fall 2005, you must submit an Extension transcript to UC Berkeley Admissions.

If you have been previously matriculated at UCB, and did not complete your program, you should check with your school or college before attempting any Berkeley-equivalent course work.

4. Who is eligible to apply for Concurrent Enrollment?

As long as you have met the published prerequisites for a course, you may apply for Concurrent Enrollment. Please note that additional requirements apply to international students (see below). Approval for enrollment requires that there be space available in your requested class, and may require you to provide transcripts showing prior course work which satisfies stated prerequisites. Some departments–such as Physics and Biology–may have additional application processes that are administered within the department. Note that some application fees are nonrefundable in the event your application is denied. If you are a student with special needs, please let us know as early as possible so that any necessary arrangements can be made for your academic success.

5. Are high school students eligible to apply for Concurrent Enrollment?

As long as you have met the published prerequisites for a course, and you have followed the instructions on what to do before you apply, you may apply for Concurrent Enrollment. As a high school student, you should work with your high school counselor to allow sufficient time in your schedule for travel as well as class. Getting to and from campus can be very time consuming, and if you are driving a car, parking can be difficult. Public transportation is highly recommended to avoid parking issues.

6. Are international students eligible to apply for Concurrent Enrollment?

International students who want to apply for classes through Concurrent Enrollment must be formally invited by a UCB campus department to study fulltime within that department. There are also general international student requirements that must be met in addition to being formally invited. Important note: International students have an earlier application and payment deadline than domestic students; you must meet this earlier deadline to keep your I-20 in status. Please acquaint yourself with this deadline and meet it. For information regarding general international student requirements, please e-mail UC Berkeley Extension International Student Services.

7. Are all classes available through concurrent enrollment?

Classes in the Boalt Hall School of Law are not available through concurrent enrollment, nor, in general, are Haas School of Business classes. Approval to enroll concurrently in any class is always dependent upon having space available in the class after any matriculated students have enrolled. You must also have met any prerequisites for the class in order to be considered for enrollment.

8. Are there deadlines for Concurrent Enrollment?

Yes. The following general deadlines are enforced for all applicants (with the exception of international students who have an earlier application and payment deadline; all other deadlines apply):

Please refer to Extension’s Concurrent Enrollment web pages for the current term’s deadline dates and times. Earlier deadlines may apply to applicants in certain schools and departments such as the Haas School of Business. Please check with your school and department before the beginning of the term so that you can meet these deadlines. All refund requests are subject to a $30 processing fee per class; the application fee is nonrefundable.

9. How do I apply?

Please refer to Extension’s Concurrent Enrollment web pages for information on fees, deadlines, and other policies/procedures. Follow the instructions on what to do before applying, how to enter your application and make payment to complete your application. Your application is not considered to be complete until you have paid all required fees, and no application will be forwarded for campus review until it is complete.

Some departments like Physics have a separate, paper-based application process that you must complete before your electronic application will be considered. If you do not meet the departmental deadlines, the department may reject your application for administrative reasons.

10. I am getting error messages when I try to enter an application. What should I do?

The application may have timed out. Please log out, and log back in. You may wish to clear your cache prior to logging back in. Please note that the application is a secure web page, and your application will not process correctly if you do not log in and out of the site each time. Accessing pages after the login page by using bookmarks may lead to error messages, and cause your request to hang up.

11. Why can't I see the pull-down menus after I have logged into my concurrent enrollment account?

If you are using Internet Explorer, you must turn on the Active Scripting function. Go to Tools / Internet Options / Security / Custom Level / Scripting, and select Enable or Prompt. If you are using another browser, please e-mail concurrent@unex.berkeley.edu with your browser type and version.

12. My instructor says s/he didn’t receive an e-mail saying that my application is awaiting review. What should I do?

Check your application status by logging into the concurrent enrollment website to ensure that your application has been forwarded to the instructor for review. If the status shows that your application was submitted to the instructor, the instructor does not need the e-mail to access your application. S/he can log into BearFacts for faculty, where a link to any pending applications is displayed in the lower left corner of the screen. The instructor chooses to approve or deny the applications, and clicks the Submit button at the bottom of the screen. You should follow up with your instructor to ensure your application is reviewed in a timely manner.

13. When and where do I pay fees?

Once you have entered your application, fees can be paid any time before the 5th week deadline (except for international students who have an earlier deadline). Keep in mind that your application cannot be reviewed or approved/rejected until your fees have been paid in full. Bring three copies of your class list to the UC Berkeley Extension, 1995 University Avenue, Suite 110, Berkeley. Cashier’s Office hours are M-F, 8 am-4:30 pm , excluding University holidays.

14. How do I request a refund?

To trigger a refund prior to the fifth week deadline, log into your Concurrent Enrollment Application Account, and choose "Drop Class" from the menu bar. Pick the class you want to drop, mark it, and submit. The status of this class should change to "Dropped by Ext Student." This status will trigger a refund for this class. If you do not want a refund, but want to use those funds toward a different class request, please e-mail concurrent@unex.berkeley.edu, and explain your request. If there is a difference in the fee, you will need to pay this prior to the fifth week deadline, or your application will not be forwarded to campus for review and you will not be enrolled.

There are no refunds of concurrent enrollment class application fees after the fifth week deadline unless your application is rejected. There is a $30 processing fee per class for which you request a refund; the term-based application fee of $100 is nonrefundable.

15. How do I find out the status of my application for Concurrent Enrollment?

You should check the status of your application through Extension’s Concurrent Enrollment website. E-mail notification is sent to the instructor, chair, and dean-level reviewer at each step in the process; however, it is often helpful for you to follow-up at each level to ensure your application is reviewed in the timeliest manner. Some accesses (see below) will not be available to you until your application status is “Approval completed.”

16. When an I considered to be officially enrolled in a class?

You are not considered to be officially enrolled in a class until your application status is "Approval Completed." You will not receive the accesses provided to enrolled students until you are officially enrolled.

17. When will I appear on the class list?

You will not appear on the instructor’s class list (through BearFacts) until your application status is "Approval completed."

18. How do I enroll in a secondary section for my class?

Concurrent enrollment application is available for the primary section of class only. To enroll in a secondary section of a class, you should contact the head graduate student instructor (GSI) or instructor so that s/he can determine if there is room in a secondary section that will work with your schedule. If there is no space in a secondary section that will work for you, you should drop your concurrent enrollment application for the class before the drop deadline.

19. What do I do when I’ve forgotten my concurrent enrollment login password?

Click on the forgotten password link. This will take you to a page where you are asked your security question. The correct answer to the security question (which you chose when initially entering your application) will trigger a password e-mail.

20. What happens if my application is rejected?

An e-mail is automatically sent to the e-mail address entered on your application if your application is denied. You should discontinue participation/attendance in the class immediately. Your class fees for the denied class will be refunded to you; the application fee is nonrefundable.

21. Why would my application be rejected?

Your application may be denied for any of several reasons. Among these reasons are:

There are other reasons why an application may be denied. You are strongly advised to speak to the instructor, department, school advisor, etc., before applying for classes through Concurrent Enrollment.

22. What is my student status when enrolled through Concurrent Enrollment?

You are an Extension (not campus or registered UCB) student when enrolled through Concurrent Enrollment. Extension student privileges differ from registered UCB students. For example, there is no health insurance or parking privilege associated with your Concurrent Enrollment student status.

23. Can I get a UC Berkeley library card?

As an Extension student, you can apply for a UCB library card at the Doe Library circulation desk; bring a copy of your payment receipt and class listwith you when you apply. There is an associated cost. You must apply and pay for a library card to access the library databases online.

24. Will I be assigned a CalNet ID?

Once your current-term application has a status of "Approval Completed," you will be assigned an Extension ID and PIN. Your Extension ID and PIN are displayed on the Personal Information page of your concurrent enrollment application account. Your Extension ID is your CalNet ID.

25. How do I activate my CalNet ID?

You can change your PIN to a passphrase on the CalNet website. At the top of the left column, there is a heading called "CalNet ID Maintenance." Click on "Change CalNet passphrase"; do not go to "Activate CalNet ID." Enter your Extension ID (found on your Personal Information page) in the blank for CalNet ID, then enter your PIN. Enter your CalNet passphrase in the two fields as directed. Click on the button at the bottom of the screen that says "Change my CalNet Passphrase." Your CalNet ID is valid for the current term.

26. Where can I get a token to activate my CalNet ID?

If you are trying to activate your CalNet ID, and the page is asking you for a token—STOP. You are on the wrong page. Refer to FAQ #25 above on how to activate your CalNet ID.

27. Do I need to re-activate my CalNet ID if I am a returning concurrent enrollment student?

Once your current term application to enroll has completed approval, test your previous CalNet passphrase on the CalNet website. Under the "CalNet ID Maintenance" menu in the left column, click on "Test CalNet ID." If your passphrase does not work, you will need to change your PIN to a passphrase by following the instructions in FAQ 24 above.

28. What do I do if I forget my CalNet Passphrase?

The Cal 1 Card Office now provides drop-in, phone, and e-mail customer support for CalNet. Their office is located at 180A Cesar Chavez Center, Lower Sproul Plaza. They are open Mon.-Fri., 9 am-5 pm. E-mail: calnetid@berkeley.edu; phone: (510) 642-4126; fax: (510) 642-4370.

29. Am I eligible for a CalMail (@berkeley.edu) e-mail account?

Once you have your CalNet ID and passphrase, you can create a CalMail account. Select Set up your account à Email – CalMail. Please note that your e-mail account will expire when the term is over, so you should not set your CalMail account as your permanent e-mail address.

30. Which other services can I access with my CalNet ID and passphrase?

You have access to the campus wireless network, AirBears, through CalNet authentication. You can access the library databases through the public computers physically located on the campus, and some campus computers designated for UCB-affiliates. You do not automatically have access to the same resources as a registered UCB student. If there are resources required for your class that you do not appear to be able to access, contact your instructor or the head GSI to enable these class-specific accesses.

31. How do I access bSpace?

BSpace access is automatically provided to you only after your application has been fully approved, and your name has been added to the instructor’s electronic class list (accessed by the instructor through BearFacts for faculty). It is in your best interest to communicate with the instructor, department, and school to facilitate the review of your application in a timely manner once you have submitted it and paid fees. Your Extension ID and PIN are viewable on your Personal Information page within your Concurrent Enrollment Application account once you have been fully approved for enrollment. Your Extension ID is also your CalNet ID, and you must convert your PIN to a passphrase by following the instructions in FAQ #25. Then you can use CalNet authentication to enter your bSpace. Not all classes have a bSpace; check with your instructor or GSI to find out if your class/section has a bSpace.

32. How do I change my grade option?

Log into your Concurrent Enrollment Application Account. Select Application/Enrollment from the menu bar, then Update Class.

Note: You will not be able to go from Not for Credit to either letter grade or P/NP through your account. This type of action must be done by Extension, and there is an additional fee. You must make this request and pay this fee by the fifth week deadline at 4 pm. Your application will also be re-submitted for review to the instructor, department, and school since you are changing from noncredit status to credit and a grade or P/NP which requires evaluation of your progress.

33. How do I receive my final grades? Can I see my Concurrent Enrollment grades online?

Concurrent Enrollment grades are mailed to the permanent address you have entered on your application. You cannot view your grades online.

34. Where is my transcript of record for Concurrent Enrollment?

As a Concurrent Enrollment student, you are an Extension student in a Berkeley-equivalent course, and your transcript is kept by Extension. If you require a copy of your transcript, send your request to Extension.

35. How do I update my address, phone number, and other application information?

You can do these updates online via your concurrent enrollment account.

36. What should I do if I have a question not answered here?
